BRIEF DESCRIPTION OF CLASS
Calculations Clerks 1 perform duties requiring the computation
and calculation of numerical data. Duties include account keeping,
auditing, statistics, payroll and similar procedures. Such tasks
are accomplished in accordance with applicable
procedures, rules, regulations and laws. Incumbents perform these
tasks manually or using calculators or computers.
CLASSIFICATION CRITERIA
To support classification as Calculations Clerk 1, incumbents
must spend the majority of their time performing tasks in which
mathematical calculations are fundamental.
RELATED CLASSES
Clerk 1 - Process transactions and maintain records in a variety
of organizational settings. They do not spend the major portion
of their time performing duties involving only calculations, keyboarding
or storekeeping although they may perform duties in these areas.
Stores Clerk 1 - To support classification as Stores Clerk
1, incumbents must spend the major portion of their time performing
clerical and manual tasks related to storekeeping.
Keyboard Specialist - Incumbents usually spend the majority
of their work time operating equipment which requires the manipulation
of a standard alphanumeric keyboard in accordance with standards
of acceptable levels of production to
produce correspondence, reports, charts, etc. The type of equipment
used includes electronic word processing equipment and standard
typewriters.
BASIC DUTIES AND ILLUSTRATIVE TASKS
Basic Duties
- Prepare, process, review and record fiscal transactions.
- Maintain financial and/or statistical records.
- Review documents to verify the accuracy and validity of figures,
calculations and adherence to prescribed criteria.
- Search for and compile narrative and quantitative data and
information from manual or computer-generated sources.
- Prepare reports, charts and/or graphs.
- Answer questions about activities, transactions and procedures.
Illustrative Tasks
- Maintain accounting records. Tasks range from posting entries
to reconciling accounts with bank statements and control ledgers,
manually or on automated financial records.
- Prepare, process and review purchase orders, payroll forms,
vouchers, bills, fiscal claims, etc.
- Prepare numerical reports and routine narrative reports,
letters and forms.
- Receive, account for and disburse cash and other items of
value.
- Audit calculations and documents (e.g., vouchers, benefit
claims, contracts, federal aid, payments to local governments,
payrolls, tax returns) for adherence to appropriate procedures,
policies, rules, regulations and laws, many of which are detailed
in writing.
- Perform calculations and computations using statistical formulas
or methods.
- Gather, organize and compile data from manual and automated
files, reports, publications and other documents.
- Prepare graphs, bar charts or other basic visual aids to
display data.
- Provide information to and answer questions from other staff,
other agencies and vendors. Refer inquiries as necessary to appropriate
office or individuals.
- May occasionally perform duties of Clerk 1, Grade 6, but
such tasks should not be the predominant duties of any position
in this class.
INDEPENDENCE OF OPERATION
Incumbents work under direct supervision and clearly defined
guidelines. They are supervised by either higher-level clerical
staff or a program manager.
COMPLEXITY
This is the entry-level title in this series. Incumbents work
within and must be able to read, understand and apply procedures,
rules, regulations and laws.
COMMUNICATION
The communications Calculations Clerks 1 have with others vary
from one setting to another. In some positions, they have contacts
with other agencies or program areas to obtain or provide information
and they have fairly frequent contact with vendors and others.
In other settings, a Calculations Clerk 1 works individually or
in conjunction with other clerical staff. Incumbents assist and
train other employees and workers.
SUPERVISION EXERCISED
None.
JOB REQUIREMENTS
- Ability to perform mathematical computations and calculations.
- Ability to use office computational equipment such as calculators,
adding machines and computer terminals.
- Ability to perform tasks accurately within prescribed time
frames.
- Ability to use common office record keeping and filing systems
and processes.
- Ability to code and decode data for the purposes of machine
processing, statistical analysis and similar office processing.
- Ability to read and apply regulations, procedures, etc. used
in office processing.
MINIMUM OCCUPATIONAL QUALIFICATIONS
Ability to pass job-related examination.
