Classification Standard

BRIEF DESCRIPTION OF CLASS

Data Entry Machine Operators use alphanumeric keyboards to enter or verify data from a variety of sources utilizing a variety of formats. Such activities are governed by agency standards of acceptable levels of production and accuracy of transcription.

CLASSIFICATION CRITERIA

To support classification as Data Entry Machine Operator, incumbents must spend the majority of their work time keying information using an alphanumeric keyboard. This information becomes part of the data base of a variety of computers, both mainframe and microcomputers. Incumbents set up and use a variety of screen formats for data entry.

RELATED CLASSES

Keyboard Specialist - Incumbents usually spend the majority of their work time operating equipment which requires the manipulation of a standard alphanumeric keyboard in accordance with standards of acceptable levels of production to produce correspondence, reports, forms, charts, etc. The type of equipment used includes electronic word processing equipment and standard typewriters.

Clerk 1 - Process transactions and maintain records in a variety of organizational settings. They do not spend the major portion of their time performing duties involving only calculations, keyboarding or storekeeping although they may perform duties in these areas.

BASIC DUTIES AND ILLUSTRATIVE TASKS

BASIC DUTIES:

Transcribe and enter data from a variety of sources to magnetic tape, punch cards, discs or directly into the computer.

Verify data previously transcribed or entered in order to detect errors by reentering or reading the data using the same source documents originally used.

ILLUSTRATIVE TASKS:

Set up machine by entering access code or inserting program card.

In accordance with specific program instructions, scan source documents and transcribe selected data.

Where appropriate, visually compare data transcribed as displayed on a visual screen with the source document and correct any errors.

Sort documents for which entry cannot be completed and return to supervisor or other predetermined source.

After completing a "batch" of source documents, record specific information on a work sheet and indicate completion of the work on the batch.

May search and extract data from computerized records.

Identify and retrieve information from the computer.

Periodically clean and maintain external moving parts of the machine by applying cleaning solution with pads and cloths, replacing ribbons, tapes, reels or paper.

Operate ancillary equipment, such as printers.

When machine malfunctions, determine nature of malfunction and take appropriate action.

May occasionally perform clerical tasks as described in the Classification Standard for Clerk 1, but the primary responsibility of this class is data entry and verification.

INDEPENDENCE OF OPERATION

Incumbents work under direct supervision and clearly defined guidelines. They are supervised by either higher-level clerical staff or a program manager.

COMPLEXITY

This is the entry-level data entry title. Incumbents must be able to read, understand and apply information and directions found in equipment manuals and written procedures.

CONMUNICATION

Incumbents of positions in this class usually have limited communications with others to clarify questions concerning data to be entered. In some cases, they may obtain and verify data directly from the public over the phone. Data Entry Machine Operators may assist and train other employees and workers.

JOB REOUIREMENTS

Ability to manipulate an alphanumeric keyboard on a variety of data entry and verifying machines with a high degree of speed and accuracy to produce copy in desired form.

Working knowledge of specific portions of machine operator's manual.

Working knowledge of agency procedures governing the transcription of data.

Ability to follow instructions.

Ability to concentrate on repetitive and detailed tasks.

Ability to make comparisons, identify and correct errors.

MINIMUM OCCUPATIONAL OUALIFICATIONS

Ability to pass job-related examination.
