**Due to the size of the candidate population for this test date, you may be assigned to either Saturday, October 17, 2015, or Sunday, October 18, 2015, to take your test. Your admission notice will tell you where and when you are scheduled to appear. You cannot request a day or time in advance or change your scheduled day or time.

IMPORTANT: Verify that you entered the correct examination number and title on your online or paper application prior to submitting. If you apply online, you should immediately review your email confirmation notice to verify that you applied for the correct examination. If you do not receive a confirmation number after submitting your online application, your application was NOT received by the Department of Civil Service. Applications received after the filing deadline will be processed for the next available test date.

Minimum Qualifications

On or before the date of filing your application, you must be a qualified employee of SUNY University Hospital in Stony Brook (for Exam No. 30-177) or SUNY Upstate Medical University in Syracuse (for Exam No. 30-178) and have had three months of permanent competitive, 55-b/55-c, non-competitive or labor class*** service in a position allocated to grade 5 or higher.

***In accordance with Section 52.11 of the Civil Service Law, individuals serving permanently in the non-competitive or labor class in a qualifying title (including those serving under Section 55 b/55 c) who otherwise meet the requirements for taking this examination are eligible to compete in this promotion examination.

Qualifying Experience for Appointment from the Eligible List

After one year of the service described in the Minimum Qualifications, successful candidates will be qualified for appointment from the eligible list.

Subject of Examination

There will be a written test which you must pass in order to be considered for appointment. The written test is designed to test for knowledge, skills, and/or abilities in such areas as:

  1. Filing - These questions test your ability to arrange given information into orders specified by directions. You will be asked to arrange a list of names into a file in several different orders (e.g., alphabetically, by name or job title and numerically, by age or by other numeric code). Questions ask what name or number appears in a given position in a specified file order. Knowledge of alphabetical and numerical order is required. No knowledge of particular types of filing systems is needed.
  2. Name and number checking - These questions test your ability to distinguish between sets of words, letters, and/or numbers that are almost exactly alike. Material is usually presented in two or three columns, and you will have to determine how the entry in the first column compares with the entry in the second column and possibly the third. You will be instructed to mark your answers according to a designated code provided in the directions.
  3. Spelling in a health care setting - These questions test for the ability to spell words that are used in written business communications in a variety of health care settings, including mental health facilities, hospitals, and medical research centers.
  4. Understanding and interpreting written material - These questions test how well you comprehend written material. You will be provided with brief reading selections and will be asked questions about the selections. All the information required to answer the questions will be presented in the selections; you will not be required to have any special knowledge relating to the subject areas of the selections.

If you pass, your seniority credit(s), if any, will be included in the computation of your final score. Rank on the eligible list will be determined after adding any wartime veterans��� credits to your final passing score.

Credit for Seniority

Seniority is credited at the rate of one credit for each five-year period (or fraction thereof) excluding the first year of service.

Duties

Nursing Station Clerk Trainees are assigned to either inpatient or outpatient units where there is daily contact with patients. In this capacity, you would screen communications by providing relevant information to appropriate personnel, give information on patient condition, and direct visitors to the appropriate locations. You would also process physicians' orders by recording written orders in charts, kardex, flag sheets, or directly into a computer file after review by a Registered Nurse; and by filling out medication tickets and pharmacy requisitions. In addition, you would make emergency calls, receive new admissions, prepare and maintain patient charts, maintain a daily log and clinic log, and perform various clerical duties as required. You might also be required to pick up and deliver supplies and records for your unit. Nursing Station Clerk Trainees are required to work holidays; weekends; and day, evening, and night shifts on a rotating basis.

As a Nursing Station Clerk Trainee, you will serve a six-month probationary traineeship during which your job performance and progression will be evaluated. After an initial eight-week period and prior to the completion of the six month probationary period, a Nursing Station Clerk Trainee not meeting required standards will be terminated. An appointee on leave from his or her permanent title may revert to that title, if not successful during this probationary traineeship. If you satisfactorily complete the traineeship, you will be advanced to the full title of Nursing Station Clerk 1, G-7, without further examination.

In general, all applications received up to six weeks before a scheduled test date will be processed for that test date. Applications received afterward will be retained for the next scheduled test date.

Qualified candidates may file as frequently as every twelve months, but a new application is required each time.

Admission to Examination

Multiple Examinations Scheduled for the Same Day

If you have applied to take a written test announced by either one or several local jurisdictions (county, town, city) scheduled to be held on the same test date as this written test, you must notify each of the local jurisdictions no later than two weeks before the test date to make arrangements for taking all tests at one test site. All tests will be held at the state examination center. Eligibility for Examination

To be eligible to compete in this examination, you must be employed in the specified department or agency on a permanent or contingent permanent basis in the competitive class, or in the non-competitive class or labor class if specifically noted on this announcement (or be on an appropriate preferred list), and have the specified time in the specified title or salary grade. You may not compete in a test for a title if you are permanently employed in that title (unless you are still on probation) or in a higher direct line of promotion.

Cell Phones or Electronic/Communication Devices at the Test Site

Do not bring cell phones, beepers, headphones, or any electronic or other communication devices to the test site. The use of such devices at the test site in the test room, hallways, restrooms, building, grounds, or other areas could result in your disqualification.

Continuous Recruitment/Eligible Lists

Candidates who meet the qualification and pass this examination will have their names placed on the eligible list in the order of final scores, regardless of the date on which they filed or took the test. Generally, the names of qualified candidates will remain on the eligible list for two years. Appeal of ratings will not be allowed as the opportunity for retest exists. The department of Civil Service reserves the right to terminate this special recruitment program.
