Description:

The Student Assistant Position(s) will be in the Office of Information Technology Services (ITS) Financial Accounting Office. The duties of the position include (but are not limited to):
1. Collecting and Reviewing ITS Asset Receiving Forms from Program Areas
2. Entering the capital asset data in Statewide Financial System (SFS) -Asset Module (AM) on a perpetual basis
3. Reviewing Purchase Orders, Contracts, Receiving Reports, Invoices, and payment information
4. Applying Capitalization Threshold Criteria - $5,000 and $40,000 cost with useful life of 2 years or more
5. Working with OGS to get OGS assigned Tag Numbers
6. Working with designated Property Control Manager or Program Staff at facilities to get Tag numbers and Location
7. Working with Program Staff to get estimated useful life information
8. Estimating Historical Cost of transferred and/or donated capital assets
9. Interpreting and applying accounting rules for Leased Equipment and entering the information in SFS-AM
10. Ensuring that assets are tagged in accordance with ITS, OGS, and SFS-AM policies
11. Assisting in the development and documentation of ITS Asset Management policies and procedures.
12. Maintaining SFS-AM location codes and cross-walks to ITS Location Codes
13. Establishing and Reviewing Depreciation schedules
14. Modifications - changes (corrections, updates, additions, deletions) to existing capital asset data in SFS-AM
15. Recording the Disposal/Retirement/Surplus of capital assets
16. Recording the Sale of capital asset
17. Recording the Trade-in of capital asset
18. Running Reports in SFS-AM, as needed
