Classification Standard




          Convention & Arts Center Operations Coordinators schedule and coordinate logistics for cultural, historical and diversity programs, public festivals, performing arts concerts at state buildings including the Empire State Plaza and Convention Center. They are classified only at the Office of General Services (OGS).




Under the general direction of higher-level staff, performs event planning services, including oversight of labor, lighting and audio visual support services for events at state buildings including the Empire State Plaza and Convention Center. These positions are in the non-competitive jurisdictional class.


RELATED CLASSES                 


Convention & Tourism Promotion Specialists administer special events programs and coordinate the management of routine business functions to promote and facilitate optimal use of the resources of the Empire State Plaza (ESP).  The positions also coordinate the scheduling, promotion and management of events, and the overall marketing of ESP facilities




Provides information to organizations regarding availability of facilities and equipment; processes applications for facility usage; reviews applications to ensure compliance with OGS policies and procedures; recommends user fees, accounting for set-up and break-down time and special services; develops detailed operations staging plan for events and  maintains booking log; coordinates support services necessary for successful staging of events; advises management when unusually large crowds are expected necessitating additional security and parking; coordinates delivery and resolves conflicts of special equipment by providing building access to authorized users at scheduled times; prepares reports related to facility usage; supervises contract  staff in performance of manual tasks required to set-up or dismantle events, including directing placement of furniture, stages, sound systems, special lighting and other equipment specified; and, may supervise labor and cleaning staff.




Non-competitive: four years of experience involved with the scheduling of events in a hotel and/or conference facility which hosts at least 250 use days annually.  Experience required includes scheduling multi-event facility usage; coordinating equipment and support services; and direct public contact. 


Substitution: A bachelors degree substitutes for three years; associates degree for two years.
